Overdue notices are provided as a courtesy from the Evergreen Indiana libraries. Failure to receive notices does not exempt patrons from the responsibility for payment for library materials or overdue fines and fees.
Patrons who provide an email address will receive an email notice three days before their materials are due and an email notice on the day their materials are due. Patrons also receive email notices when their items are 3 days, 7 days, 14 days, 28 days overdue or declared lost (28 days for Fine free libraries; 45 days for all others).
Overdue and collections notices are automatically generated for each library. The print notices are made available to the library via a unique URL. Each member library must access the URL to review the print notice PDF. The library should then mail the print notices according to local policy. Print notices are not generated and mailed by the consortium. To access the print notices: click on the link on the home page or via the Administration navigational menu.
A new tab will open, and the following screen will display:
Enter your Evergreen username and password (e.g., local admin or circ log-in). The following screen will display with a link for each day on which notices were created. Click on the link and the PDF will display. Please note that notices are automatically deleted from each section after 90 entries.
A first overdue notice will be generated and can be sent via email or U.S. First Class mail 14 days after the Due Date. A second overdue notice will be generated and can be sent via U.S. First Class mail 28 days after the Due Date.
The final notice, which declares the items “Lost” and assesses the replacement cost of the overdue materials and related costs, including processing and collection costs, will be generated and can be sent via U.S. First Class mail 45 days after the Due Date. Libraries participating in the Fine-Free program will see their lost notices generated at 28 days rather than 45. Lost notices may also be generated if the Patron notifies the library of the loss.
A collections notice is generated when a Patron’s fines exceed $25. Please note that this notice does not present a final bill as fines may continue to accrue after it is generated.
A damaged notice is generated when a Patron’s account is fined for damaging an item. These notices are still generated even if the Patron has already paid for the damaged item.
