Item Reclaimation

Evergreen Indiana utilizes an automated profile called Item Reclamation to transit materials back to their owning library that have been transiting elsewhere for an extended period of time. This is to discourage multiple negative renewals, which is not a preferred practice for material not owned by the circulating library.

The Process #

After an item has been circulating outside of its owning library for an extended period, a forced-level (F) hold will be placed on the item through the Evergreen Indiana Item Reclamation (ei-item-reclaimer) account.

The next time that item is checked in, a transit slip will be triggered for the owning library.

If the item is circulating and an attempt to renew occurs, it will tell circulation staff that the item has been requested to fulfill a hold.

Checking a Reclaimed Item In #

If an item owned by your library is checked in with a hold from the Item Reclamation account, it will print a Hold Shelf Slip.

To remove the hold and change the status of the item to Reshelving, you need to cancel the hold and then check it in.

Cancel the Hold #

Option 1: Access the Reclamation Account #

You can use Patron Search or the Check Out function and use the barcode: ei-item-reclaimer.

Go to the Holds Tab and Cancel the Hold #

Under the Holds tab, find your item and cancel the hold. Enter the cancel reason and an optional note.

Option 2: Your Library’s Hold Shelf #

Since the Item Reclamation hold is for your shelf, you can go to your Holds Shelf and cancel the hold from there.

Option 3: The Bib Record’s Hold Tab #

You can also cancel the Item Reclamation hold via the bib record’s View Holds tab.

Check the Item Back In #

Regardless of how you cancel the hold, you need to check it in afterwards. Access the Check In screen and check the item in.

The item’s status should change to Reshelving, or may be captured for another hold request.
