There are a number of different ways to search the catalog in Evergreen Indiana: by keyword, title or author, by ISBN or UPC, by a MARC tag, et cetera. You also have the ability to just browse titles and headings as well as call numbers.
When you open the catalog prior to setting any preferences, the Keyword Search tab is selected to open by default. If you prefer to change it to another search type, you can do so within the search preferences.
Search Preferences #
NOTE: These settings are saved at the workstation level.
Catalog search preferences can be set via the Administration → Workstation menu, and also directly in the catalog. From the Cataloging menu, select Search the Catalog. From there, click on Search Preferences.
Search Preferences will load within the catalog.
The first option is Default Search Library. The selected option will be the Default Search Library for your workstation. Whenever you perform a search, the system will search the selected library or libraries by default.
The second option is Preferred Library. As noted, copies are displayed for the selected library. Set this to your local branch or system.
NOTE: It is recommended to set the Default Search Library at the highest level, “EG-IN”, and your Preferred Library at your local branch or system level. This way, your branch’s search results will appear at the top, but the consortium’s collection will also appear.
The third option is Default Search Pane. This is the search function that will open by default when you access the catalog.
Search Results Per Page allows you to change the number of results displayed per page.
Check-marking the Exclude Electronic Resources button will not default searches to exclude e-resources from the search results;however, it will add the button to the main search form to checkmark.
Any changes made to Search Preferences will be automatically saved. Click Return to return to your catalog search.
Search Library (Library Selector) #
Filtering by search library is available for all search types in Evergreen. This can be set via Search Preferences for a default location, but it can also be modified before and during a search.
Click the library field to select which library system or branch of a system you wish to focus your search on.
TIP: You can start typing in the “shortname” of the library once you clicked the selector instead of scrolling through the list, which is in alphabetical order.
Your library selection will stay until you leave the catalog or log out of the web Client.
Keyword Search #
Keyword searches are the most common way to search for items in the catalog. They can be as broad or as narrow as you wish, depending on the filters and fields you choose to fill. There are several filters and options to help your search.
Search Options #
When you first load the catalog, a single entry field is available to begin your search.
Search Format #
You can limit your searches to a specific format. Select an option from the extensive drop down list to narrow down your results to all books, all movies and televisions, DVD, magazines, et cetera.
Search Type #
An input row lets you select the type of query you are starting: keyword, title, journal title, author, subject, series, or digital bookplate. Each type will search for different aspects of the Bibliographic record.
Search Criteria #
Search criteria can take the query text and expand or limit what is included in the search results.
Contains/Does not contain will show results that contain (or do not contain) your query. For example, you could begin an author search that contains “King, Stephen” (meaning even titles he is not the primary author on will show in the results), and include another query that does not contain “dark tower”. Your search results should show all titles that Stephen King was listed in, but not show any title that mentions “dark tower”.
Contains phrase will search for terms that fall successively.
Matches Exactly will only show results with titles or keywords that contain your search term, and nothing else will be returned. The articles a, an, or the, are taken into account. This option is only available for all except keyword searchers.
NOTE: The title that matches your search term might be an alternate title (246), added entry (700 $t) or content title (505 $t) and thus will not appear on the title line.
Starts with will only show results where your term is first. Articles a, an, the, are taken into account.
Adding More Input Fields #
To add more input rows to narrow down your search, you can use the + or – buttons to the left of the query field to add or remove extra fields.
The first row will allow you to select a format type to search. Each subsequent row adds Boolean operators (and, or) to narrow or broaden the search.
When performing searches, the goal is to try to find the material you are searching for as quickly and efficiently as possible. If your search terms are too general, you may have 100s or even 1000s of results which will be slow to load and leave you with a lot of results to review. On the other hand, if your search terms are too specific, you may exclude the very results for which you are searching. If your search results in too many hits, narrow your search, and if your search does not produce the material you are looking for, try searching a different way, or broadening your search.
The keyword search looks for the word in all indexed fields of the MARC record; this includes the title, author, summaries, content notes, series, and subject headings, among others.
The relevance ranking takes into account the number of times the word is used in the record as a proportion of the number of words in the record.
Evergreen makes use of stem word searching, so it looks for plural versions of your word as well as different verb and adverb endings.
TIP: You can combine multiple search terms in one keyword box, as above, or put them in separate boxes. The results will be similar but they may sort better if you use separate boxes.
Sorting Results #
The ability to sort results is available prior to and after submitting a search. By default, the results are listed in order of relevance. You may also sort by title, author, publication date, and popularity, and then alphabetically, reverse alphabetically, oldest to newest, and newest to oldest.
Click on the drop down to select how to sort your search results.
If you’d like to sort after you’ve searched the catalog, select the sort option from the drop down and then click Search. It will not automatically re-search.
Limit to Available #
If you checkmark Limit to Available, your results will be limited to those titles that have items with a circulation status of Available or Reshelving.
Group Formats/Editions #
Group Formats/Editions allows you to combine individual bibliographic records across various formats that represent the same work in your search results. This is used for meta-record holds, which can be used when any version of a title is acceptable to fulfill a Hold.

Results from All Libraries #
If Results from All Libraries is checked, it will bypass any preferences set for the workstation if the Default Search Library is anything other than EG-IN and search all libraries in the consortium.

Exclude Electronic Resources #
Exclude Electronic Resources will limit search results to bibliographic records that are not electronic forms. This option is not visible until it is manually selected in search preferences.
Using Search Filters #
Another way to limit your search results is to use search filters. You can limit by Item Type, Item Form, Language, Audience, Video Format, Bib Level, Literary Form, Shelving Location (if a search library other than EG-IN is selected) and Publication Year. All of these filters, except for Shelving Location, are based on data from the MARC record fixed fields.
To open the search filters, click on the vertical ellipses at the end of the first search input field.
To select a search filter, click on it from its individual filter list. Use the scroll bar to view all available filters for each type. Each selection will be highlighted. You may choose more than one filter for each type. To do so, Hold down the Ctrl button and click on each option.
NOTE: Once you click out of a filter type, the selected options will turn gray.
To change your selection, you can click on a line in the box to remove any other selections, or Hold down Ctrl to deselect only one.
NOTE: When limiting by Literary Form, it is unnecessary to limit for Books because the Literary Form fixed field is found only in records for books.
NOTE: If your search range is Evergreen Indiana, then the items just have to be available at one location.
Publication year can be limited to a specific year, before or after a specific year, or between years. Between will create a new entry – one for each year. For example, a search between 2005 and 2007 will include results that have a publication year of 2006.
Numeric Search #
Numeric Search is useful when you know the exact item you wish to search for and know the specified query type to search with. You can search a specific ISBN, UPC, ISSN, LCCN, TCN, or item barcode.
Select the correct query type from the drop down and enter the corresponding value in the value field. Click Search.
Search results, if any, will appear below the search form.
TIP: While useful, it might be easier to search for an ISBN, UPC, ISSN, or LCCN using a keyword search. TCNs can be searched using the Retrieve Bib Record by TCN function, and the item barcode via Item Status.
MARC Search #
The MARC Search allows you to search for a particular field, or even a particular subfield in a MARC record. This can be very useful when trying to search for a specific item, or when trying to correct errors in the MARC record.
Simply enter the MARC field number in the Tag box. If you wish to search a particular subfield (recommended), you can enter that in the Subfield box, and enter your search term in the Value box. Then click Search.
NOTE: You cannot limit the MARC Expert search using any of other types of searches, such as the search filters, or limit to available items.
You can search multiple fields by adding more rows to the MARC Expert search. Click Add Row. This allows you to limit your MARC Expert search, or search more than one field at once, since only one field can be entered in each Tag box.
Browse #
While a keyword search allows you to search for a specific title, the Browse search function allows you to search through titles and other bibliographic headings available in the catalog. Results show headings that fall before and after your search string. Each result will link to the catalog records with that heading.
TIP: If you are entering an author’s name, enter the surname first.
Shelf Browse #
Shelf Browse searches the catalog much like the Browse function, except instead of searching within the bibliographic records in the catalog, it searches through call numbers, or volumes, and includes results that fall before and after your query.
TIP: It’s recommended to use the Search Library filter when using Shelf Browse as there is no default way call numbers are entered. They mean different things for different libraries.
