Weekly Update – June 8, 2011

Welcome Union City Public Library!

Union City Public Library will be going live tomorrow, Thursday, June 9, 2011! Their go-live date will not require a catalog freeze. With the addition of Union City Public Library, the Evergreen Indiana community will include 90 libraries serving a population of 817,242 Indiana residents.

De-dupping project

The test de-duping script is finished running and the test data is being reviewed. The test resulted in merging a significant number of duplicate records and we are now refining the criteria to ensure the greatest success when the script is run on the live server and to minimize false matches.

Cataloging items for branches

Cataloging items for branches

If you catalog materials for all branches in your library system, a best practice to keep in mind is to set the owning library and the circulating library so that they are the same for materials. The only time this would not be appropriate is if the materials belong to a collection that can be moved from one branch to another. Setting up the owning library to be the same as the circulation library is done in the Holdings Maintenance screen which you can learn more about in Chapter 3 of the Cataloging Training Manual, which can be found at the following URL:
http://www.in.gov/library/files/EI_Cataloging_Training_Manual_Chapter_3.pdf

Note that if you change the library displayed in the Holdings Maintenance screen, it will remain the default until you change it, even if you open another bibliographic record. So if you are cataloging items for different branches, make sure to change the library displayed in the Holdings Maintenance screen to reflect the branch for which you are cataloging. A good way to double check that you’ve cataloged the item with the correct owning and circulating library is to perform the holdings maintenance on the item and then scan it into the Item Status screen. If you have chosen owning library and circulating library to display using the Column Picker, you will be able to double-check your work.

For more information on the Column Picker, see EI Training Manual, Chapter 4, which can be found at the following URL: http://www.in.gov/library/files/Cataloging_Training_Manual_Chapter4.pdf
