Circulation Procedures Guide Updates

These are some of the updates to the procedures guide that were approved by the Patron Services Committee on August 20, 2024. It is recommended to review the entire Procedures Guide.

General

  • The term PIN was replaced with password to match current vocabulary used in Evergreen and Aspen.
  • The term library card was changed to library account in areas to more closely align with the new shared circulation policy.
  • Pronouns were updated to they/their/them to reflect more appropriate terms.
  • The language referring to proof of identity and residency was updated to more closely align with the new shared circulation policy.
  • Procedures were clarified or adjusted in various areas including, but not limited to:
    • Intra-Evergreen Indiana Lending
  • In the section on Replacement Cards, the language was updated regarding the cost.

“There is a $2 fee for a replacement card…”

to

“A fee may be assessed for a replacement card…”

Additions

  • An exception was added to the Duplicate Patron Records section.
  • A section was added to the New Adult “Clean Slate” procedure to allow an exception for new adults moving from one member library system to another.

At a member library’s discretion and on a case by case basis, an exception may be made for the creation of a duplicate account when the patron’s original Evergreen account has fines or fees that were established prior to their 18th birthday or emancipation, and the account’s original home library does not opt in to this procedure. Communication between the affected libraries must be established prior to the creation of a duplicate account. If it is decided that a new account is to be created, an alert must be added to each account to describe that the accounts should not be merged.

  • Clarifying language was added to the Loss of Privileges > User blocked section.
  • Language was adjusted and added to the Fines/Fees section.
  • Clarifying language was added to the Limited Access profile type to define when the the circulation blocks would occur.

Deletions

  • The “Purging Inactive Patrons” section was deleted due to duplication in the shared policy.
  • The section on types of holdable and non-holdable material was removed due to duplication in the shared policy.
