e-Materials During the Upgrade – PLEASE READ
Reminder: the Evergreen system will be completely down on the evening of December 5th through December 7th while we upgrade to software version 3.15. The system will go offline late Friday evening (December 5th) and will come back up sometime on Sunday (December 7th). Please don’t sign into Evergreen until Jeremy gives the okay on the Support listserv.
What does this mean for hoopla and Libby/Overdrive? A temporary bypass has been set up for hoopla between the 5th – 7th. This means your patrons will still be able to use the service while Evergreen is down. To set this up, your library must have a temporary bypass form on file with hoopla. Most libraries do. Those who don’t were contacted by a hoopla rep yesterday to submit the form. If you didn’t receive an email from hoopla, you’re set to go.
Overdrive/Libby is setting the authentication for all Evergreen Indiana libraries to Temporary Account Refresh Protocol during our downtime. But what does that mean? Users who have previously signed in through your Overdrive site or Libby app can continue to access their accounts. Let me know if you have any questions!
But Courtney! What about Aspen? Will the site be up? Yes. Will patrons be able to sign in and access up to date information in their accounts? No.

Aspen Maintenance and Evergreen Indiana Upgrade
We will be scheduling a few hours of downtime to Aspen the morning of Friday, December 5th to upgrade to a newer version of Aspen. A reindex will be triggered which should begin at 2am (EST) the following morning (Saturday). This work will coincide with the downtime scheduled for the Evergreen Indiana upgrade that should begin in earnest the evening of December 5th.
More Downtime? Unfortunately, Yes!
Again, the Evergreen Indiana servers are being moved from an off-site data center to Indiana Office of Technology’s data center on the government campus. In addition to saving some money, this move will put the data center closer to the Evergreen Admin Team. All good news! The bad news? The servers will be offline while Evergreen and IoT staff physically move them from one data center to another. The move will take place at the end of January, the exact date coming soon.
No More Boxes, Please!
At this time, we request that member libraries do not send their extra EI transit boxes back to the state library. You may dispose of unusable boxes and let member libraries know if you have extras via the Evergreen Support listserv. We appreciate you!
